Record a counter rental
A customer walks in without a booking: create their record, choose the vehicle, adjust the price. The rental is confirmed from the start.

A counter rental is a real booking, not a block: it produces a contract and a condition report, and goes into your finances like any other rental. Any member of the agency can record it.
The steps
- Open “New rental” from “Front desk”, from “Schedule”, or from a customer’s record.
- Choose the customer from your file, or create their record: first name, last name, phone, national ID card number (CIN) and driver’s license number are required.
- Enter the dates and select a vehicle that is free over the period.
- Karya suggests a price calculated with your pricing rules. You can keep it or replace it with the agreed amount.
- Save: the rental is created directly as confirmed, with no request or approval.
- The contract is generated; carry out the pickup condition report, then declare “Customer arrived — confirm rental”.
How it differs from an online booking
- No waiting: the rental is confirmed as soon as it is recorded.
- The price can be changed freely, even brought down to zero if you explicitly confirm that choice. Any difference from the suggested price is recorded in the team log.
- Your rental conditions — minimum age, years holding a license, minimum duration — are not enforced: the customer is right in front of you.
- The customer receives no notification and no invitation to leave a review, and the rental does not count toward the Verified Renter Passport.
Customer records
The records created at the front desk make up your customer records, specific to your agency. You’ll find them in “Customers” — under the “More” tab in the app. A given phone number can match only one active record, which avoids duplicates over repeat visits.
