My trial, my subscription, my invoices

A 30-day free trial, three plans depending on your fleet size, a single invoice each month on your billing date, and read-only suspension if unpaid.

The trial

Your agency starts with a free 30-day trial, counted from the approval of your application. The trial covers the subscription, not the commissions. You are notified 5 days and then 1 day before it ends.

To activate your subscription, open “Finances”, the “Subscription” card, and click “Activate subscription”. You choose your plan, and an “Activation invoice to pay” is created. Your subscription is activated when its payment is recorded: to continue without interruption, it must be recorded by the last day of the trial. So pay a few days before. Like any invoice, it is to be paid within 7 days and you receive reminders if it is not; during the trial, a delay does not cut off your access, only the end of the trial without payment does.

Commissions on your rentals collected in cash during the trial are not on the activation invoice. They come on the next invoice: the one of January 4, 2027, in the example.

If the trial ends without payment

The day after the last day of your trial, your workspace becomes read-only. The same day, if commissions remain to be invoiced on your rentals collected in cash during the trial, you receive an “End of trial” invoice for those commissions alone. It is paid like any other invoice, but paying it alone does not restore your access.

To get your access back, activate your subscription from “Finances” (“Subscription” card, “Activate subscription” button) and pay the activation invoice, as well as the “End of trial” invoice if you received one. The day your access is restored becomes your billing date.

The plans

Plans differ in the number of vehicles they allow, and their monthly price depends on it: the larger your fleet, the higher the plan you need.

The current price list — plan names, vehicle limits, and monthly prices — is published in the Pricing section of the Agencies page on the Karya website. It is also presented in “Finances” when you activate your subscription.

If the team changes your plan, the new price applies to your next invoice, with no proration.

Your billing date

Your billing date is a fixed day of the month: usually, the day your first paid month started. It can change after the end of a trial or a suspension (see below). On that day each month, you receive a single invoice. It includes the subscription for the month that is starting and the commissions on your rentals collected in cash that have not been invoiced yet.

Example: your billing date is the 17th. The invoice of December 17, 2026 includes the subscription from December 17, 2026 to January 16, 2027, and the rentals collected up to December 16. It is to be paid by December 24, 2026.

If your billing date is the 29th, 30th or 31st, the invoice arrives on the last day of shorter months, then goes back to its date. Example: with the 31st, your invoices arrive on January 31, February 28, March 31 and April 30, 2027.

As long as your subscription is active, the date of your next invoice is shown in “Finances”: “Next invoice on …” next to the “Invoices” heading, and “next invoice on …” on the “Subscription” card.

Reading an invoice

Your invoices are in “Finances”, under “Invoices”. Each one shows its issue date, for example “Invoice of December 17, 2026”, and a badge that says what it contains. Open it to see the rental details and to “Download PDF”.

BadgeWhat the invoice contains
ActivationYour first month of subscription, without commissions.
SubscriptionThe subscription for the month that is starting, and the commissions still to be invoiced.
Free subscriptionYour commissions alone: this month’s subscription is free of charge.
End of trialThe commissions from your trial period, when the trial ends without payment.
ClosureThe commissions still to be invoiced, on the final invoice after your account is closed.
CommissionsCommissions still to be invoiced, for example during a suspension.

If a line looks wrong to you, contact us from the help center as soon as you receive the invoice: a paid invoice can no longer be corrected, and the payment deadline keeps running while we review it. If the team removes the line, it appears under “Lines removed from this invoice”, with its reason, and is no longer counted in the total.

If you pay late

  • Each invoice is to be paid within 7 days of being issued: the date is written on the invoice.
  • A reminder is sent to you 3 days after the due date, then a second one 7 days after.
  • Until the suspension, your workspace remains fully usable.
  • Once your subscription is active, 10 days after the due date, your access is suspended: your workspace becomes read-only, your fleet leaves the catalog, and your public page disappears.
  • Your customers on a rental keep their car, but you can no longer record anything in your workspace (return, condition report, contract) until access is restored.
  • Access is restored once all your overdue invoices are paid.

Example: the invoice of December 17, 2026 is to be paid by December 24. Without payment, a reminder is sent on December 27, a second one on December 31, and access is suspended on January 3, 2027.

Coming back after a suspension for non-payment

During the suspension, no subscription invoice is sent to you: the full months that follow your last invoiced month are not invoiced to you. The invoice already issued remains due in full. If commissions remain to be invoiced, they arrive on your usual date, on a “Commissions” invoice.

Once all your overdue invoices are paid, your access is restored. Then:

  • if your payment is recorded no later than the last day of the subscription on your last invoice, nothing changes: your next invoice arrives on your usual date;
  • otherwise, a new month of subscription starts on the day your payment is recorded: its invoice is sent to you the same day, and that day becomes your billing date.

Example: your billing date is the 17th. Your last invoice, the one of December 17, 2026, carries the subscription until January 16, 2027, and your access is suspended on January 3. If payment of all your overdue invoices is recorded on January 10, your next invoice arrives on January 17. If it is recorded on April 5, 2027, an invoice is sent to you on April 5, then on the 5th of each month.

If your subscription is free of charge

If the team gives you your subscription free of charge, you are normally notified by email. If you were on a trial, your trial ends that day: you have nothing to activate. The “Subscription” card then shows the date of your first invoice with subscription: “Free subscription: your first invoice with subscription will be the one of …”.

Until then, your commissions are still invoiced every month, on your billing date: you receive an invoice for the commissions alone on your rentals collected in cash. If there is nothing to invoice, you don’t receive an invoice. You are notified 5 days and then 1 day before your first invoice with subscription.

Pause and closure

  • During a pause (“Settings”, “Suspend agency”), your subscription is still billed.
  • If you close your account and commissions remain to be invoiced on your rentals collected in cash, a final invoice is sent to you the same day. Its PDF is attached to the email, because your workspace is no longer accessible.
  • Your pending invoices remain due in full, including the one for the current month’s subscription.
  • To pay an invoice after closure, contact us from the help center.

The contractual framework is set by the “Terms of sale — subscription”.
